Refund & Cancellation Policy

Last updated: 15 October 2026

This Refund & Cancellation Policy explains how you can cancel services ordered from BoardroomUK and when you may be entitled to a refund. It applies to consultations, project work, deposits and our monthly advisory plans.

This policy forms part of our Terms & Conditions. If you have agreed a written proposal or engagement letter with us that contains different cancellation terms, those terms will apply. Nothing in this policy affects your statutory rights as a consumer.

1. Overview

Because our services are professional services, the time we set aside for you and the work we carry out cannot be resold. Our approach is therefore to be fair and transparent: you pay for work done and time reserved, and you receive a refund of amounts paid for work that has not been performed, subject to the rules below.

Service How to cancel Refund position (business customers)
Paid consultation Email us at least 48 hours before the start time Full refund or free rescheduling; late cancellations may be charged in full
Fixed-fee or staged project Written notice by email Pay for work completed and committed costs; any balance paid in advance is refunded
Deposit Written notice by email Applied to work completed and costs incurred; any unused balance refunded
Monthly plan (Starter, Growth, Enterprise) 30 days’ written notice Fees payable for the notice period; no refunds for part months or unused allowances

Consumers have additional rights, explained in section 6.

2. Consultations

If you have booked and paid for a consultation, you can cancel or reschedule it free of charge by giving us at least 48 hours’ notice before the agreed start time. We will either refund the fee in full or move the consultation to another mutually convenient time.

If you cancel with less than 48 hours’ notice or do not attend, we may retain the fee, because we will have reserved and prepared for that time. We will always consider exceptional circumstances, such as illness or emergencies, and will usually offer to reschedule.

If we need to cancel or reschedule a consultation, we will give you as much notice as possible and offer you a new time or a full refund, as you prefer.

Initial introductory calls offered free of charge do not involve any payment and can be cancelled or rearranged at any time.

3. Project fees

Projects such as governance reviews, board evaluations, investor readiness programmes, exit planning or placement assignments are usually priced on a fixed-fee or staged basis, as set out in your proposal.

3.1 Cancelling a project

You may cancel a project by giving us written notice. If you cancel, you will need to pay for:

  • work completed up to the date we receive your notice, calculated in proportion to the agreed fee or by reference to the agreed stages;
  • any expenses or third-party costs that we have incurred or committed to on your behalf and cannot recover;
  • any cancellation charge set out in your proposal.

If you have paid more than the amount due, we will refund the balance. If you have paid less, we will invoice you for the difference.

3.2 Placement assignments

Where we are engaged to find and introduce a non-executive director, fractional director or adviser, any fees linked to introductions or appointments are set out in your proposal. Cancelling the search does not affect fees that have already become due under that proposal.

3.3 Unsatisfactory work

If you believe our work has not been carried out with reasonable care and skill, please tell us promptly. We will review the matter and, where appropriate, put things right by redoing the relevant work at no extra cost. If that is not possible, we will discuss a fair price reduction.

4. Monthly plans

Our Starter, Growth and Enterprise plans are billed monthly in advance and continue until cancelled.

  • To cancel, send at least 30 days’ written notice to support@boardroomuk.com.
  • Your plan and access to its services continue until the end of the notice period, and fees for that period remain payable.
  • We do not provide refunds for part months or for unused allowances such as advisory hours or meetings, which do not roll over unless your plan says otherwise.
  • If we end your plan for reasons other than your breach, we will refund any fees you have paid for periods after the plan ends.

You can see current plan details on our pricing page.

5. Deposits

For some projects we ask for a deposit before work starts, to secure our time and cover initial preparation. A deposit is not a separate fee: it is credited against the total price.

If a business customer cancels after paying a deposit, we will use the deposit to cover work completed and costs incurred to the date of cancellation, and refund any balance. If we cancel a project before starting work, for any reason other than your breach, we will refund the deposit in full. Consumers have the additional rights described below.

6. Consumers: your 14-day right to cancel

If you are a consumer (an individual acting wholly or mainly outside your trade, business, craft or profession) and you entered into a contract with us online, by telephone, by email or away from our premises, you have the right to cancel within 14 days under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. The 14-day period starts on the day after the contract is formed. You do not need to give a reason.

  • If you ask us to start work during the 14-day period and then cancel within it, you must pay a proportionate amount for the services provided up to the time you told us you were cancelling.
  • If the service has been fully performed within the 14-day period at your express request, and you acknowledged that you would lose the right to cancel once the service was complete, the right to cancel no longer applies.
  • Any deposit or advance payment will be refunded, less the proportionate amount for services already provided.

Your rights under the Consumer Rights Act 2015, including the right to services performed with reasonable care and skill, also apply. For more information about consumer rights, see gov.uk.

Tip: If you are a consumer and want us to start work straight away, we will ask you to confirm this in writing. Keep a copy, as it records how your cancellation right applies.

7. How to request a cancellation or refund

To cancel a service or request a refund, please email support@boardroomuk.com with the subject line “Cancellation” or “Refund Request” and include:

  1. your name and company name, if applicable;
  2. your order number, invoice number or proposal reference;
  3. the service you wish to cancel;
  4. the reason for your request, if you wish to give one (consumers cancelling within 14 days do not need to);
  5. the bank details to which you would like any refund paid, if different from the account you paid from.

You can also write to us at BoardroomUK, Babarsari Sleman, No 23 Ruko Biru Kab. Sleman, London, United Kingdom. A cancellation takes effect from the date we receive your notice.

8. Refund timelines

We will acknowledge your request within 3 working days.

  • Consumers cancelling under the 14-day right: we will refund any amount due without undue delay and no later than 14 days after the day you told us you were cancelling.
  • Other refunds: once the amount due has been confirmed, we aim to process the refund within 14 days.

Because orders on our website are paid by invoice rather than by card, refunds are normally made by bank transfer to the account from which you paid, unless we agree otherwise. We do not charge a fee for processing refunds.

9. Questions and complaints

If you have questions about this policy, or are unhappy with a decision we have made about a refund, please contact us at support@boardroomuk.com or on +44 824 – 2637 – 8823 or +44 813 – 3445 – 9349. We will handle any complaint in line with the complaints process in our Terms & Conditions. You can also reach us through our contact page.
